Acker, Briese, Eason, and Manus were excused. Library Director Carey and Construction Advisor Heemstra were also present. Call to Order: Board President Stow called the meeting to order at 7:00 p.m. Change Order No. 18 for A&P/Samuels Group: Moved by Bradley, seconded by Meier, to adopt a resolution approving changes to the contract with A&P/Samuels Group, a Joint Venture, and recommending that the City Council approve Change Order No. 18 at a total cost of $94,813.00. The AIA Change Order Document was reviewed and Heemstra explained the 14 requests. He also distributed an updated project cost summary and noted that $294,636 would still be left in the change order allowance after approval of Change Order #18. Heemstra said that pricing is currently being obtained to add drainage tile at the southwest corner of the building. The material that will replace the black panels now hanging on the southeast end of the building has been ordered and should arrive soon, but the stain for the brick has not been selected yet. In response to a question from Trustee Campbell, Heemstra stated that the building had withstood the previous weekend’s rainstorm quite well; a little water leaked in in two areas where work had not been completed and there were no problems at all with the new skylight. Referring back to the project cost summary, Trustee Budd asked if the $688,814 figure at the bottom of the page represented money still not spent. Heemstra said it was: the $688,814 has not yet been set aside for any particular purpose in the budget. When that amount is added to the unspent $294,636 in the construction change order allowance, there is still a cushion of nearly $1 million. Vote on Motion: 5-0. Motion approved unanimously. Resolution declared adopted. Updates: Carey spoke about the status of the building and several upcoming events: • the Ames Public Library Friends Foundation’s gala on Friday, • a “trial run” that will take place on Sunday, during which City of Ames employees and library family members will help staff test new equipment and many basic services, • Receptions for PEO and Rotary the week before opening, • And the Grand Reopening on Sunday, September 14. She explained that sidewalks would not be finished by Friday and guests would see work that was unfinished or needed repair. The focus this week is on safety, aesthetics, and cleanliness. Carey said basic services will be available when the building opens, but some of the technology and equipment for meeting rooms will be added later. The bulk of the signage is in place, but the donor wall will be done later and there will be a special tour and reception for those donors Agenda Item 3 after it’s installed. Carey pointed out that there will be new causes for celebration as time goes on and things get added. Carey stated that the move went quite well and ended ahead of schedule, thanks to the hard work of the entire staff and Val Donnell in particular. This week staff has been getting settled in and receiving training on safety and security. Work continues on getting out of Lincoln Center by the end of this month. The library held one giveaway for City departments and another for Asset-funded agencies and public libraries. Ames Historical Society will be taking 100 sections of shelving. The next stage is to hold a public sale. Adjournment: The meeting was adjourned by consensus at 7:26 p.m. The next regular meeting will be on Thursday, September 18, 2014, at 7:00 p.m., in the Dale H. Ross Board Room at Ames Public Library, 515 Douglas Avenue. Agenda Item 3
