Special Meeting Minutes
Attending: Calli Sandahl, Cindy Hicks, Marina Kraeva, Nicki Mackey, Michael Abrams
1.Call to order: 5:31 pm
2.Japan Finances
a.Transportation and meals will be covered while in Koshu. The board would like to
cover hotel rooms and part of the travel for Japan
b.Just over $12000 in the bank, and can still ask for an additional $5500 from the
City. This will not impact the FY 23/24 budget.
c.$2500 is typically reserved for the board president to travel, Cindy is proposing
we split the money among all board member travelers, approx $500 per board
member.
d.11 people confirmed for the trip, will need 7 rooms total for 4 nights. Approx
$545/per person for hotel coverage. Breakfast is included with the hotels.
e.Total of $8500 to be spent for the Japan trip.
f.Vote for the travel expense - $2500 total, for each person to have $500 towards
travel. Motion Michael, Second Marina, approved by all
g.Vote for the hotel expense - $6000 total, $545.45 per person. Motion michael,
second Nicki, approved by all.
h.Cindy will write checks to board members attending once they show proof of
flight purchase. If someone does need the check prior to booking, she will
provide the check and the board member will share the receipt after they book.
