Meeting Minutes

1.Call to Order - 5:33 pm (Cindy)
2.Approval of Agenda Change (Motion to approve - Calli ; second Michael, Approved by
all)
a.New website updates removed from agenda, replaced with annual newsletter
3.Approval of August Minutes (Motion to approve - Michael ; second Calli, approved by all)
4.Approval of Treasurer ’s Report (Motion to approve - Marina ; second Michael, approved
by all)
5.Japan 2022 Update / Virtual Student Interaction
a.Cindy sent email to delegates letting them know we’ll wait until November to
make a decision. Have yet to hear back, but embassy website says no vacation
travelers as of now.
b.Cindy feels confident we can do a virtual student delegation. Will discuss more in
November - all board members are encouraged to view the flipbook and come
with ideas:https://www.iowasisterstates.org /new-beginnings-booklet
c.Cindy chatted with Dan Culhane at Ames Chamber of Commerce and they will
sponsor 1-2 students for scholarships with the delegation. They cannot have
someone serve on our board currently, but will plan to be involved in the future.
d.AMF Student announcements are a great resource to utilize to help get the word
out to students on the verdict of Japan.
e.Katrina digitized the student application and announcement for future uses.
6.New Website
a.Removed from agenda until November.
7.Annual Newsletter
a.Newsletter goes out in January.
b.Content - due to Calli by December 31, 2021.

8.Calendar Project
a.Katrina has worked with the Ames Middle School art teacher to get some
artwork for the calendar:

b.Everyone to provide comments on the photos so Katrina can follow up with the
students and ask for name + short artist statement. Katrina then to send to Calli
and she will finalize the calendar.
9.City Funding
a.Due by November 15.
b.Jen to send an old form to Cindy and fill out financial information.
10.Other Updates
a.Would be great to keep chaperones in mind for future trips – keeping equity in
mind when selecting chaperones.
