Meeting Minutes
Attending: Cindy Hicks, Calli Sandahl, Katrina Harden-Williams, Jen Malone, Michael
Abrams, Karlai Thornburg, Steven McKinny
1.Call to Order - 5:30 pm (Cindy)
2.Approval of August Minutes (Motion to Jen, 2nd Karlai, approved by all)
3.Approval of Treasurer ’s Report (Motion to approve - Calli, Michael 2nd, approved by all)
4.Updates
a.Tunisia Updates: None at the moment.
b.Japan Updates:
i.A state of emergency has been issued due to COVID -- It is hard to accept
a delegation for 2022 at the moment until state of affairs are a little more
established.
1.The board is concerned about the required 14-day quarantine. If it
is still in effect, then we will likely not have a delegation.
2.The Japanese state of emergency is in effect until the end of
September. Can we wait until October to make a decision?
ii.Do we send a youth group or an adult group? -- possibly we send mostly a
youth delegation with a few adults in attendance as well.
iii.Can we push the delegation back a month? Can we force students to
wear their masks 24/7 while on the trip, regardless of how much we instil
it in their mind beforehand?
iv.Cindy sent the following link from Iowa Sister Cities, and enjoyed how
they have ideas on continuing engagement throughout the pandemic:

v.Cindy to follow up: (craft a letter and receive feedback from Karlai and
Steven)
1.Push delegation back to July / August, or May?
2.Will Japan send a delegation to the US as well?
3.Can we require students to be vaccinated before they attend the
trip?
4.What will visa / vaccination requirements be from Japan’s
standpoint?
5.Possibility of a virtual delegation?
6.If we postpone until 2023, what do we do to include those
students who were expected to attend in 2020? Is it practical from
the Japanese point of view?
c.Linda / Board Updates: Linda Livingston can no longer commit to the board :( Do
we need someone from the Gilbert School District? Do we want someone from
the Chamber or ACVB?
i.Cindy to reach out to all three and see if any want to have a member on
the board.
d.New Website: Steven and Calli to work on the website together. Will do some
research on other sister city websites to see what others are using / what type of
content they are including.
i.Need to reach out to the city to see what type of data / security
requirements are necessary for the creation of a website. -- Cindy to do
ii.Is there need for a sub committee to help with content creation? --
possibly include previous students or board members.
iii.Calli / Steven to bring forward skeleton / map of website and present at
next meeting.
e.Calendar:
i.Lots of artwork in various mediums. Guardian consent necessary to
include artwork in the calendar.
ii.Need to draft up a consent form to have guardians sign on behalf of
students.
iii.Katrina to help establish student engagement through cultural classes
iv.Still on time for October 15 deadline
