Minutes Oct 30, 2019
Ames City Hall - Conference Room 135
Those present: Board members Lisa Shen, Judy Jones, Pat Sauer, Cindy Hicks, Karlai Thornburg, Jen Malone joined by phone. Also in attendance, Lana Pavlik.
I. Call to Order (Lisa Shen) at 5:05 p.m.
II. Approval of September 2019 Minutes – Motion to approve minutes by Hicks, second by Jones.
Motion approved.
III. Approval of the Treasurer’s Report the report lists the bank total 9/30/2019 as $9,953.03. The
grant amount requested for 2019/2020 from the city was $6,000 ($2,500 for Kosovo exploration,
$2,000 for student trip leader tickets, and $1500 for annual meeting, supplies and holiday letter.
Proposed request for grant 2020/2021 $7000.
IV. Old Business/Updates
A. Cindy Hicks is now on the Board representing schools; we still need another
representative for school.
B. Kosovo sister city update (subcommittee report)
Things are moving forward, but the next step is the City approves at the City Council
meeting to add Kosovo as another sister city. It was moved by Jones and2nd by Thornburg
that the Sauers attend the next city council meeting if it is on the agenda. The report is
included in the minutes.
C. Koshu 2020 exchange
Japanese partner feedback; there is now new coordinator; Japanese will allow 20 students
and 5 adults
Submission deadline Oct 31 for applicants
Hicks will collect the application forms
Feedback Oct 10 feedback – seemed everything went well
Interview schedule setup- Hicks will doodle board members for schedules and set up
interviews with student applicants
V. New Business
A. New school board member from AMS – will continue to follow leads
B. Sauer and Brotherson will be off board in July 2020
C. FY21 budget submission due Nov 15. The budget to be submitted was discussed.
Malone offered input. Shen will revise and review with Malone and submit to city. It
was moved by Sauer and 2nd by Hicks to request $7000 grant from the city for next year
budget.
D. AIPCA annual newsletter – need to begin working on. Jones will find template and
request input from members. The newsletter will be mailed in Jan. The Board will meet
in Jan for our holiday mailing get together
