HomeMy WebLinkAbout~Master - AIPCA Meeting Minutes from November 8, 2018Ames International Partner Cities Association Minutes November 8, 2018 400 Ash Ave at Brotherson house Those present: Board members Lisa Shen, Jen Malone, Dianne Brotherson, Judy Jones, Tom Sauer, Lana Pavlik, Karlai Thornburg. Call to Order (LisaShen) at 7:20 p.m.Approval of October 2018 Minutes – Motion to approve minutes by Brotherson, 2nd by Pavlik. Motion approved.Approval of the Treasurer’s Report (JenMalone) Malone reported that the Ames Chamber paid the remaining bill (after donations) for the Maude’s dinner for the Koshu adult delegation ($1,533.44). Malone has requested $3,874.77 from the city grant for annual meeting costs and Koshu delegationcosts, plus an additional $525 for translators. The Hirta transportation bill is still outstanding. Also, there will be charges for thank you notes and holiday letter supplies. Jones moved to approve the report with 2nd from Brotherson. Motion approved. OldBusiness/UpdatesKosovo sister city next steps. Those that met with the representative reported that we can follow the programs currently available – 4-H camp and adult delegation exchange for business, cultural and art or we could develop our own unique program. We can set our own requirements. The country of Kosovo was helped by the Iowa National Guard and is grateful for our help on their road to freedom. Malone moved that we continue to explore the sister city relationship with Podujevo and explore developing an interest committee. 2nd by Thornburg.New BusinessThank you notes – Board members worked on thank you notes to host families with pictures of their Kosovo guests. Also thank yous went to others that assisted in the visit.City grant proposal - Our future budget request will include summer 2019 trip to Kosovo and 2020 student trip to Koshu. Malone moved the budget item for FY2020 be $6,000 to cover both trips. 2nd by Pavlik.Holiday (Winter) newsletter information can be submitted to Jones. The mailing will be in January. Items to include in the newsletter might include: Students that visited Ames, notes from host families, pictures, Koshu changes to the program that will now be student not adult trips. Outline the Kosovo interest and ask for committee planning volunteers for this adventure. Also note need for Board member with school interest. The Board will meet Jan 10 at the home of Pavlik to mail the newsletters. Malone will purchase stamps, Jones will print off labels.Others – NoneAdjourned at 9:45 p.m. Next meeting will be on Thursday January 10, 2019 Lana Pavlik, 520 Oliver Circle at 7:00.
