Minutes October 19, 2018 at 11 am
Those present: Board members Lisa Shen, Jen Malone, Dianne Brotherson, Judy Jones, Sarah Buss, Lana Pavlik. Call to Order (LisaShen) at 11:00 a.m.Approval of June/August/September 2018
Minutes - A correction was submitted for June minutes: Under annual meeting section, B c. Change cityscape to Cityside. Approval of June minutes with correction was made by Pavlik,
2nd by Malone. Motion approved.August and September were not official minutes as there was not a forum of Board members.Approval of the Treasurer’s Report (JenMalone) covered transactions
from July, August and September with current bank balance 9/30/2018 of $4,936.15. Income for this account included sale of shirts and paperweights. Expenses were for annual meeting
and charter bus.
Money was transferred from the city grant and the group has a balance of $3,889.98 for the remainder of current fiscal year. Included expenses for this grant were annual meeting in July,
student trip reimbursements, gifts for delegation, and gifts and expenses for adult delegation to Ames in September. Brotherson moved to approve the report with 2nd from Pavlik. Motion
approved.
It was moved by Brotherson and 2nd by Pavlik to pay translators for their service during the delegation. $100 each to Jintao (April) Wang,Tomoko Furukawa, Tahaand Nao Furukawa, Ayrusa
Ogawa and $50 to Julia Baker.
OldBusiness/UpdatesVote for city church donation for annual meeting ($50 or$75) it was moved by Buss and 2nd by Malone to pay City Church $75 for use of their facility for the annual
meeting. Motion approved.September 2018 Japan Youth delegationfeedbackPositive – Members reported positive reviews; the charter bus worked well, the kids enjoyed the farm.Negative –
required extra planning for the activities of adults.Thank-you letter, setup meetingdate- We will meet at Brotherson’s November 8 at 7:00 for our next regular meeting and do thank yous.Others
– Lisa detailed the change submitted by Koshu sister city. They will now only do the exchange with Ames every two years. This probably means the delegation will be a mix of students
and adults, not just adults only or students only. The adult exchange as we have known in the past will not happen as emphasis will be on students. A note in the holiday newsletter
will detail this change. New BusinessKosovo updates (Podujeva?) We will meet with them and discuss their proposal.Invite speakers for Kosovo discussion from Fort Dodge orJohnston?
Lisa will invite the group to meeting Oct 24. This was one of the dates they had suggested. We will meet at seed lab.Board member update (fill vacancy,change?) Lana will talk to
school principal for interest and see if he has ideas.Next board meetingNov 8Others – We need to review our by-laws concerning developing another partner city in regard to Kosovo proposal.Motion
