Minutes ‐ Thursday, June 14, 2018 at 5:00 pm
City Hall
Those present: Board members Lisa Shen, Jen Malone, Dianne Brotherson, Judy Jones, Karlai Thornburg, Sarah
Buss, Tom Sauer. Also attending Amanda Gray
1. Call to Order by President Lisa Shen at 5:02
2. Approval of May 10 minutes: A correction was submitted: Under New Business, it should say Shen and
Malone attended the City Diplomacy Summit. Motion to approve minutes with correction was made by
Thornburg, 2nd by Brotherson. Passed.
3. Treasurer’s Report ‐ Malone presented the treasurers’ report covering activities for month of May. Expenses
were $50 for the City Diplomacy Summit. Income was $30 membership. The May 31 Bank total was
$7,565.32. There was $4616.92 in the city grant left for Koshu after expenses of $384.29. Motion to approve
treasurer’s report: Brotherson, 2nd Thornburg. The report was approved.
4. Old Business
A. June 2018 Youth delegation planning
a. A situation has arisen in which money was paid for a ticket but the reimbursement was not
forthcoming. Thornburg will work with the parties to get resolution. It was moved by Brotherson
and 2nd by Buss to resolve the situation so that the student could travel if possible. The motion
passed.
Brotherson moved and 2nd by Jones that we update our policies so this does not happen in the
future and all money must be paid up front.
b. Delegation gifts
Framed picture is ready. Paperweights received.
T‐shirts have been ordered and received.
Tags that can be handed out to people in Japan also received.
B. Annual meeting (July 19).
a. Brotherson will chair the planning committee. Jones will help.
b. Fundraising opportunity. A decision was made to sell shirts and paperweights at annual meeting.
c. Article will be in Cityscape. Invite old and new members.
5. New Business:
A. September Koshu delegation. They will be here September 20 around 5:00 p.m. and leave September

a. There will be 27 students, 7 adults
b. Staying options. Thornburg volunteered to coordinate the host families. Adults will stay in a hotel.
c. Hosting family meeting. We will have in early September and will match Koshu students with
hosts.
d. Day trip plan –Tentative plans. Friday school, ISU and Hort farm
Sat – Des Moines – Brotherson
Sunday – orchard – Malone
Monday – City and farewell dinner
e. Student applications for teacher positions – Koshu is requesting applications from us. Brotherson
has some possibilities and will turn these names into Koshu.
B. Kosovo experience – Dawn Larson from Fort Dodge. – decided to invite her to meeting in October.
C. Next board meeting ‐ Decided on August 2 date
Motion to Adjourn: Meeting adjourned 6:16.
The Annual meeting will be held July 19 at City Church
Next meeting will be on Thursday, August 2, at 5 pm at the Ames City Hall
