Minutes - Thursday, March 22, 2018 at 5:00pm
City Hall
Those present: Board members Lisa Shen, JenMalone, Lana Pavlik, Judy Jones, Karlai Thornburg, and Dianne Brotherson. Also present Christi Carr and Ayusa Ogawa
Call to Order by President Lisa Shen at 5:05
Approval of minutes: January minutes (Feb did not have forum to approve) Motion by Pavlik, 2nd by Thornburg. Passed. Feb minutes: Motion to approve by Malone, 2nd by Thornburg.
Passed.
Treasurer’s Report -Malone presented the treasurers’ report covering activities formonth of February to current March. The February 2018 balance was $9,545.32.Malone is working with
city and will send a letter requesting a $6,000 transfer of funds to match payment of tickets and travel being in different financial years. Motion to approvetreasurer’s report: Brotherson,
2ndPavlik. The report was approved.
Old Business
A. June 2018 Youth delegation planninga. Youth delegate selection update orientation meeting: feedback, went well
b. Next training will be April 8 at 2:00. Two sessions will be team building and chaperone assignment. Shen is coordinating with Japan to get travel details and host names.Adult chaperones
update - Trip chaperones will be Bob Reason and Lisa Shen. Other adults going are: Christi Carr, Vladimir Williams and Crystal Malelski. April Wang will not be going but Asrun Kristmundsdottir
has volunteered.
c. Lisa’s Visa – It was moved by Brotherson and 2nd by Pavlik to pay the $27 Visa cost for Shen.
d. Delegation gifts –Ideas were discussed. Jones will check on some items that can be engraved and maybe include 25th group anniversary. Ideas are needed for host families as well
as delegation gift.
e. Shirt design and order –A discussion was held. How many needed for delegates? Engraving a towel was also mentioned. Shen and Malone are following up.
f. Trip planning - none
B. Next meeting date April 19.
New Business:
A. 2018 Citizen Diplomacy Summit opportunity 4/27. Board members are invited to attend. Anyone interested can contact Shen.
B. Other: Brotherson has communicated with the Partner City Coordinator in Johnston. They send students to Kosovo and asked if we were interested in wanting to be sister city. March
28 the Consul General of Kosovo is in Iowa at DMACC. If interested in attending call Shen.
C. Annual meeting date- Jones will check with City Church about meeting July 19, 18, 17.
Motion to Adjourn: So moved by Pavlik, 2nd by Brotherson 6:00 p.m.
Next meeting will be on Thursday, April 19, at 5pmat the Ames City Hall
