Minutes February 15, 2018
Members Present: Lisa Shen, Dianne Brotherson, Jen Malone, and Tom Sauer
Guests: Bob Reason, Christi Carr, Ayusa, Tomoko family (Tomoko, Taka, and Nao)
I. Call to Order by Chair Lisa Shen at 5:12 p.m.
II. January minutes were read.
III. Malone provided treasurer’s report. Since delegation in July will be in next fiscal year will
want to send a letter requesting carryover of funds.
IV. Old Business/Updates
A. July 2018 youth delegation planning.
a. First orientation meeting feedback was positive. Most information was of
interest to parents. Only students expected to attend remaining meetings.
b. Some assistance is needed for 3 remaining training sessions (March 3, April 8,
and May 6). Volunteers sought.
c. Delegation dates are July 2-9 with 5 nights with host families and last night in
Tokyo. Flights are through Haneda Airport with a layover in Minneapolis/St. Paul.
Tickets cost $1450 and all have been purchased.
d. Lisa will need to obtain a visa. The cost is $27 for single entry and $57 for 2 years.
e. The gift for Kosho City is a framed print currently with the Sauers. It was noted
that Koshu City does not have the new City of Ames flag and it was suggested
that one be obtained to deliver in July.
f. Cost reimbursement update. These include ½ of airfare to delegation leaders.
g. Trip planning – delegate profiles are being prepared to send to Japan. There was
discussion of having a shirt made and including this cost and cost of hotel and
money for spending all in one transaction. AIPCA would be willing to cover part
of the shirt cost.
B. Jeremy Regenwether is going to Japan in June or July and is interested in
volunteering to assist with AIPCA activities in the future.
C. The March meeting will be rescheduled.
V. New Business
A. Judy Jones is working on data from the volunteer information sheets.
