HomeMy WebLinkAbout~Master - AIPCA Meeting Minutes from January 18, 2018 AMES INTERNATIONAL PARTNER CITIES ASSOCIATION Ames, Iowa Minutes - Thursday, January 18, 2018 at 5:00 pm City Hall Those present: Lisa Shen, Jen Malone, Lana Pavlik, Judy Jones, Tom Sauer 1. Call to Order by President Lisa Shen at 5:01 2. Approval of October minutes: Motion by Malone, 2nd by Sauer. Passed. 3. Treasurer’s Report - Malone presented the treasurers’ report covering activities in the months of November and December 2017. The balance in the January 2018 report is $8,629.39. $275 was the result to renewal fees. We also have the city grant of $5,000 we may draw from and $3,000 additional if we secure the Italy sister city. Motion to approve Pavlik, 2nd Shen. The report was approved. 4. Old Business A. June 2018 Youth delegation planning a. Youth delegate selection update - Interviews were held with 20 students. All were chosen to participate in the trip. One student had to drop out because of the selected dates. b. Travel date is July 2-9 c. Adult chaperones update - Trip chaperones will be Bob Reason and Lisa Shen. The Board will finance one half of the plane ticket amount for these two people. A question arose as to how they would be paid as the cost and reimbursement would fall into two financial years. Malone will check into how it can get paid out of this year’s money since we do not have the bill yet and the travel will happen after July 1 2018. Other adults going are: Christi Carr, Vladimir Williams and Crystal Malelski. Also traveling to Japan at this time is Jintao (April) Wang. She has made her own travel arrangements, but may be helpful to the group if contact is made. She could help with translation. d. Orientation meeting - Malone will check on date availability at the APL for the orientation and email out information. e. Training sessions will start in February and continue in March, April and May. Tentatively they will be held at the APL , possibly Sunday afternoons. April, Tomoko and Takao Furukawa may help with these sessions. Shen will contact Tomoko family and see what topics they can cover. B. Holiday letter feedback - Resulted in several member renewals. C. Other - Shen asked if the Board would pay for VISA costs for her trip to Japan. She will investigate the details and get back to Board. 5. New Business: A. New volunteer – Jeremy Regenwether has contacted Shen on his interest in being English teacher and also his interest in volunteering with this group. B. Reschedule March meeting. The March meeting will fall within Spring Break week. It was suggested the meeting be changed to March 22. C. Other: Jones will modify the database so that it can reflect the interest given on the sign up form. Motion to Adjourn: So moved by Shen 5:45 p.m. Next meeting will be on Thursday, February 15, at 5 pm at the Ames City Hall Minutes submitted by Judy Jones, secretary
