AMES INTERNATIONAL PARTNER CITIES ASSOCIATION

Minutes - Thursday, October 12, 2017 at 5:00 pm
City Hall
Those present: Dianne Brotherson, Jen Malone, Lana Pavlik, Lisa Shen, and Judy Jones
1. Call to Order by President Lisa Shen at 5:10
2. Approval of July minutes: Motion by Malone, 2nd by Pavlik. Passed.
3. Treasurer’s Report - Malone presented the treasurers’ report covering period through October 31, 2017.
The balance is $8,440.80. There will be a bill submitted for $30 to boost the web site. This is money in the
AIPCA account as result of dues and donations. We also have the city grant of $5,000. Motion to approve
Brotherson, 2nd Pavlik. The report was approved.
4. Old Business
A. June 2018 Youth delegation planning continue
a. Information meeting update. There were few people to show up at the meeting. Many others
expressed interest. Another meeting will be held Saturday October 14.
b. Set up travel date. Japan related they will accept 20 students and 5 chaperones any date before July
12.
c. Identify delegation leader . Bob Reason will be contacted to be co-leader with Lisa Shen. If the
dates do not work out for Reason, possible co-leaders will be contacted: Christie Carr, Tom Brumm or
Crystal Matelski.
d. Advertisement update. Will continue to publicize.
e. Application process update. Applications due October 31.
f. Set up selection meeting date. Tentative dates are November 2 and November 5. Shen will check
site dates. Discussion was held on process. It was suggested the co-chairs meet all students then
send applicants to all selection committee members for questions. Matrix questions were discussed
and Brotherson will send out draft questions.
g. Schedule training sessions.
B. Other - none.
New Business:
A. Set up date for holiday letter writing workshop, December 4, 2017 at home of Lisa Shen, 30;07 Almond.
Ideas -Contact Sauer for trip highlights. Explain new dues system with all paying in December.

5. Motion to Adjourn: So moved by Shen 6:15 p.m.
Next meeting will be on Thursday, November 16, at 5 pm at the Ames City Hall (note: this
meeting was cancelled.)
