AMES INTERNATIONAL PARTNER CITIES ASSOCIATION

Minutes - Thursday, Sept. 21, 2017 at 5:00 pm
City Hall
Those present: Dianne Brotherson, Jen Malone, Lana Pavlik, Lisa Shen, Judy Jones, Pat Sauer, Tom Sauer and
Karlai Thornburg
1. Call to Order by President Lisa Shen at 5:02
2. Approval of July minutes: Motion by P. Sauer, 2nd by Thornburg. Passed.
3. Treasurer’s Report - Malone presented the treasurers’ report covering months of August and September
2017. The balance is $8,456.21. This is money in the AIPCA account as result of dues and donations. We
also have the city grant of $5,000 we may draw from and $3,000 additional if we secure the Italy sister city.
Motion to approve Jones, 2nd P. Sauer. The report was approved.
4. Old Business
A. June 2018 Youth delegation planning
a. Identify delegation leader: Bob Reason is interested and would travel with his daughter. He and
daughter may have date conflicts. We will follow up with this and would prefer the date of the trip fall in
the first couple of weeks. Shen and Malone will follow up with Koshu, AMS and Reason conflicts to set the
date. Other possible trip leaders or adult travelers suggested were Sarah Buss, Stacey Culhane, Karlai
Thornburg, Bill Diesslin, and Sauer. These names will be explored.
b. Advertisement: It is time to get the process going. Susan Gwiasda will be asked to put information in
city materials. Malone will check on the middle school Club night. Check with Sarah Buss to put in Chamber
materials. Malone will check on previous information outlets used.
c. Application process: Reviewed the application form. Malone will incorporate Board suggestions and
send out final form. It must be Ames residents but can include Gilbert school if student lives in Ames.
Applicants will be those that finish 7th & 8th grades next May/June.
Tentative schedule: October information meeting for parents and students interested with applicants
chosen in November. December information meetings for delegates.
d. Malone will check library for meeting date for Oct. (Since Board meeting Oct 4 was available).
B. Survey recap: Japan survey. T. Sauer reported the input was positive. It was suggested we consider
such a survey for future Koshu Ames visitors.
5. New Business:
A. Send new Iowa or Ames flag to Koshu. P Sauer reported the flag at Koshu did not have the new city logo.
Motion to purchase a new flag with the newest city logo to send with the delegation. Motion by Jones and
2nd by Brotherson. Motion passed.
6. B. Reschedule October meeting. Shen stated she could not attend next scheduled meeting and asked about
reschedule. It was decided to reschedule to Oct 12. If we have no further information on trip dates, we can
reschedule to October 26.
C. Other: It was decided that the organization has funds so we should spend money in the promotion
budget. There was a suggestion to look for a table top display to provide activities information.
7. Motion to Adjourn: So moved by Shen 6:15 p.m.
Next meeting will be on Thursday, October 12, at 5 pm at the Ames City Hall
