Minutes - Thursday, July 20, 2017 at 5:00 pm
City Hall
Those present: Hannah Moore, Sarah Buss, Dianne Brotherson, Jen Malone and Karlai Thornburg
1. Call to Order by Vice-President Thornburg at 5:05
2. Introduction of AIPCA Board members to Sarah Buss, new AIPCA Board member
3. Approval of May minutes: Motion by Buss, 2nd by Malone. Passed.
4. Treasurer’s Report - Malone presented the treasurers’ report of June 30, 2017. The balance is $6,920.59.
Motion to approve Moore, 2nd Buss. The report was approved.
5. Old Business:
Adult delegation trip to Koshu – Karlai gave a summary of the adult delegation trip to Koshu which left on
June 1st and consisted of 20 delegates. The delegation experienced a tea ceremony, tours of temples, a
wonderful welcome/farewell dinner and many other activities. She said all of the host families were helpful
and very gracious. Our hosts in Koshu made excellent arrangements for the group.
Annual meeting – The annual meeting was held at Bethesda Lutheran Church on June 21 at 6:00 pm. The
Board provided meat, chips, beans, buns, tableware, BBQ sauce and drink. Those attending brought
desserts and salads. About 60 people attended the meeting and Alex Akiyama gave a talk on the history of
sake that included sake tasting. Tom and Pat Sauer showed pictures from the adult delegation trip to Koshu
and each delegate shared a memory of the trip with the group.
6. New Business:
No adult delegation from Koshu - Dianne received an email from Koshu saying they would not be able to
send a delegation this fall. September did not work for them and their proposed dates of the end of
November or February did not work for us. We proposed the middle of October but that did not work for
them because of the grape harvest so they decided to send an adult delegation this year. Dianne will send
the email out to the Board members.
Youth delegation for June 2018 – since we will not be hosting this fall, we can focus on planning for the
youth delegation. Jen Malone will contact Bob Reason to see if he is interested in being the delegation
leader. Hannah Moore will also consider being a delegation leader. We would like to have one adult per
five youth. Hannah will check on the dates for the other trips that will be offered by the Middle School in
June of 2018. A plan to recruit the youth delegates would be to:
Make an announcement in the Middle school and Cityside
Schedule informational meetings
Gather applications
Schedule interviews
Select the delegates
Schedule training sessions for the delegates
Jen made a motion to cancel the August meeting and meet again September. Buss seconded the motion.

Motion to Adjourn – adjourned at 6:00 pm.
Next meeting will be on Thursday, Sept. 21 at 5 pm at the Ames City Hall
