Minutes - Thursday, May 18, 2017 at 5:00pm

Those present: Dianne Brotherson, Jen Malone, Judy Jones, KarlaiThornburg andTom Sauer
Call to Order by President Brotherson at 5:05
Approval of April minutes: Motion by Malone, 2nd by Thornburg. Passed.
Treasurer’s Report - Malone submitted a motion to provide the delegation leaders, Tom and Pat Sauer with one-half of the amount of their airline tickets. This amount is $1,427.86 for
each person. It was 2nd by Thornburg. Motion passed.
Malone presented the treasurers’ report of May 2017. The balance is $8,637.23. Motion to approve Sauer, 2nd Jones. The report was approved.
New Business -Brotherson has sent another email to Monteccio Maggiore about being a sister city and requesting a reply.
There was discussion on a request from Susan Jasper to send out reminders to members to pay annual dues. For those not going to annual meeting, this payment is often missed. Discussion
led to the policy that dues will be paid at the end of the year, not the annual meeting. If new members do join at the annual meeting, their membership will run through December and
then they can renew in December for the next year. Members currently on the June cycle will be renewed in December. This will save on confusion. The holiday newsletter will contain
a renewal form and return envelope. Wording to this effect will be put in the evite sent out for the annual meeting. The object will be to cut down on confusion for all by having everyone
on the same calendar cycle.
Annual meeting – The suggested date from the last meeting was not available at City Church. They had booked out for events for a couple of weeks around that day. The annual meeting
will now be at Bethesda Lutheran on June 21. It will begin at 6:00. The Board will provide meat, chips, beans, buns, tableware, BBQ sauce and drink. Those attending will bring desserts
and salads.

VP: Karlai Thornburg
Secretary: Judy Jones
Treasurer: Jen Malone
Upcoming events for Board to plan:
a. The October 14-21 delegation from Japan.
b. Work on interviews and applications for school kids for next year’s trip to Japan.
c. Work on application process for adult delegations
