AMES INTERNATIONAL PARTNER CITIES ASSOCIATION

Minutes - Thursday, January 19, 2017 at 5:00pm
Ames City Hall
Those present: Brotherson, T. Sauer, J. Malone, Jones, Pavlik
1. Call to Order by President Brotherson at 5:05
2. Approval of December Minutes - Malone moved we approve the minutes; 2nd by Sauer.
Minutes were approved.
3. Treasurer’s Report –Malone reported that AIPCA is in good financial shape. She submitted a
treasurer’s report covering income and expenses for September 2016 – January 2017. No
expenses in Sept. and Oct. Nov. expenses were $1,033.73. Dec. expenses were $1,276.38.
Also presented were expenses for the Japanese delegates in Ames 2016. The total
reimbursement request for this event was $2,500.89. There may still be bills to be presented.
Hirta has not sent a bill. Brotherson will follow up. As of this date, AIPCA has $2,201.61 left in
the city grant fund as well as $5,962 in the bank.
Malone presented the secretary with new membership forms since the last meeting. There
were also returned newsletters with wrong addresses. Jones will follow up for the database.
Pavlik moved we approve the treasurer’s report; 2nd by Sauer. Report approved.
4. Old Business:
a. Report on AIPCA Holiday letter – Malone reported that this newsletter generated $440
in membership fees compared to $250 at annual meeting.
b. Emails from Koshu – Brotherson still communicating regarding our delegation in June.
5. New Business
a. 2017 Adult delegation to Koshu – June
Number of delegates, dates, cost of the airline tickets, chaperones, selection process -
Brotherson stated there has been interest from a few. She will interview current Board
members as to their interest. Most of the discussion was on how to inform the public
about the opportunity. Ideas and responsibilities: Blurb about the trip, Brotherson;
notify Ames Chamber and Ames Visitors Bureau – Malone; notify Ames Tribune and Sun,
can Gwiasda do; notify school faculty – Pavlik; interview with KHOI – Sauer; email to
membership list, Jones
b. 2017 Adult delegation from Koshu – September – details still TBD
c. AET teacher update- Brotherson reported that there are possibly two people who may
be interested.
d. Other - Brotherson reported still no response from Italy regarding sister city.
6. IV. Motion to Adjourn – adjourn at 5:55
7. Next meeting is Thursday, February 16th at 5pm at the City Hall
