Board Meeting
August 18, 2016
Call to Order 5:02 PM
Members present:Dianne Brotherson, Lana Pavlik, Judy Jones, Lisa Shen, Tom Sauer, Hannah Moore and Jen MaloneAlso present Bill Malone, Tomoko, Taka and Nao Furukawa and Traci Shogren-Knack,
Meeting Minutes:Minutes from the July meeting were not available.
Treasurer Report:Malone reported there is bank account amount of $8,301.43. This includes the city reimbursement of $1,768.09 and five new member renewals. Upcoming expenses are
an estimated budget of $3,500 for the upcoming Japanese student delegation. Sauer moved to approve the treasurer’s report and Pavlik seconded. Treasurer’s report was approved.
Old Business:J. Malone reported CIT Motor Coach cost estimates. These costs are extremely higher than Hirta costs for transportation for the delegation. It was decided to stick with
Hirta but possibly look into some donations in the future to cover the CIT expenses for future delegations.
New Business:Schedule/Plan for Koshu Youth in September
B. Malone reviewed host family needs. He has found host families for all students and adults and tour guide at this time as Board members volunteered. He will keep us up to date if
things change.The daily schedule was reviewed and updated. People were added as day helpers and day hosts and translators. It appears day activities are covered and people are in place.
Those in charge of each day will follow up on activities. A new revised schedule will be sent out later to event.Our group had been notified that Grace Amemiya has been set to be inducted
in the Iowa Women’s Hall of Fame on August 20. Grace has been active in our group for several years. It was moved by Pavlik and 2nd by J. Malone to send $50 from this group to honor
Grace. The Board also signed a card to be mailed to congratulate Grace.
Meeting adjourned at 6:25 PM. Minutes submitted by Judy Jones, secretary
