I.Call to Order (Judy Kemp)
II.Approval of April Minutes
Amended 4b to send report to Kemp.
Minutes approved as amended.
III.Treasurer’s Report (Bill Diesslin)
Small changes in funds.
Report approved.
IV.Old Business/UpdatesA.Database Update
Reminder to give notes/updates to Kemp. B.June delegation update.
Delegation now 12 members. Message from Japan is that they are prepared for the delegation and Rhonda will be with them ~80% of the time.
Board approved gift for Koshu City purchased from Octagon (picture) for $250.
Delegation will take pottery mugs as gifts for host families.
Reminder to have home address to list on forms upon entry into Japan.
Kemp requested photo for newsletter and newspaper articles.C.Annual Meeting June 27 details.
Judy Jones has prepared an Evite to send 3 weeks before.
Event will start at 6 p.m. with saucy southerner sandwiches, 3 meat selection, beans, bars, and lemonade provided by board and guests asked to bring a side dish.
Members will be responsible to ordering and arranging food and service items. Kemp with be responsible for sound, table setup and decoration, and will serve as greeter. Available board
members will assist.
Agenda: Welcome, eat, business meeting, announcements, annual reports, Japan delegation report, sign-up sheets for Sept. delegation hosts (no dates set yet).D.Replacement Board Members
Carol VanWaardhuizen as new school rep. (Stacey replaced Kathleen, so Carol replaces Judy Kemp)
Need one additional school rep.E.Yuki (from Koshu City) passed the TOEFL
V.New businessA.Czech Republic update and letter
Email received from Frydek-Mistek requesting we dissolve formal partner city agreement. They are unable financially to continue with exchanges. Judy distributed copies to board members.
F/M still welcomes anyone who wants to visit (informally).
Potential partner city relationship with Wulfrath, Germany discussed. Interest in both adult and family exchanges. Pursue after Ames High School student trip this summer.B.By-Laws

Brotherson is still working on revisions.C.Newsletter ideasJune is a good time after meeting. Perhaps put online with click-on link.
