AMES INTERNATIONAL PARTNER CITIES ASSOCIATION

Attending: Judy Kemp, Judy Jones, Ken Hampson, Stacey Culhane, Kathleen Ary
Absent: Dianne Brotherson, Bill Diesslin, Tom Sauer/ Pat Sauer, John Kolb, LanaPavlik
Call to Order 5:04 p.m.
Approval of May Minutes: Postponed until August when a quorum is present.
Report from June Meeting: Judy summarized the June meeting.
The meeting opened with a slide show of archived pictures from the past 20 years of AIPCA. Judy Kemp gave a welcome, acknowledging the 20th anniversary of the association, and recognized
current and past board members, members of the Japan delegation, and other guests.
Participants were treated to a pot-luck style dinner with AIPCA providing Hickory Park Saucy Southerner, baked beans, and lemonade. Guests provided salads and desserts.
Scott McLeod showed a slide show with pictures from the most recent Japan delegation.
Bill Diesslin interviewed members of the delegation about their experience.
Judy Kemp read the Annual Report. A copy is available for anyone who’d like it.
A motion was made by Brotherson nominating Lana Pavlik to fill the vacant “At Large” position on the board. Carried.
An update was given by Kemp on the dates of arrival for a youth delegation coming from Koshu City in September. Host Family Applications were made available for those wishing to host
this fall.
An explanation was given about the membership renewal process with opportunity to join or renew after the meeting ended.
Treasurer’s Report: Postponed until August
Thank you cards to outgoing board members: Judy will be writing and sending notes to Oye, Cappie, and Yonas. Board members discussed whether to include gift cards. It was felt that
positions are voluntary, that members don’t expect a gift card, and that as a board we want to avoid obligatory gestures. Conclusion: They are not necessary.
Election of Officers: Postponed until August
Youth Exchange form Koshu City (Includes updates since meeting)
Judy K distributed a schedule used in 2010 as a basis from which to start. Since the delegation’s arrival and departure coincides with the same days of the week, planning with a similar
structure should work.
The delegation has the following arrival and departure schedule:
Judy contacted Carolyn Klaus, who is looking into Hirta buses for our transportation around Ames and possibly our day trip to Des Moines.
Judy contacted Sharlene Sullivan, who is looking into CIT for bus service to and from the airport and for any trip to Des Moines.
Kathleen and Stacey will handle coordination of the middle school visit.
Lana Pavlik will handle coordination of the elementary school visit.
Judy will contact principles about the high school visit.
Judy will talk with Dianne and Bill about ideas/coordination for the ISU visit.
Kathleen will look into costs for the Living History Farms.
Other ideas that came up during the meeting included tie dying shirts in chemistry at the high school, determining what the students here from Germany are doing, DeMoss pumpkin farm,
and Center Grove Orchard. Decided to save Reiman Gardens for families to do.
Stacey is heading the host family piece of this. There are currently 5-6 families signed up from the dinner. First chance to host will be offered to our membership and to the recent
Japan delegation. Stacey will make contact with the Japan delegation and will write up something to give Judy to send out to the membership.
Judy and Ken are looking into the place and entertainment for the final dinner. Group decided that Onion Creek Cloggers and Dean from Twisted Entertainment were so successful in 2010
that we should try to get them again. Judy will send out updates on availability of entertainment and venues. Primary options are Hickory Hall and Oakwood Road Church.
Update: Ames Chamber of Commerce will sponsor the dinner.
