MINUTES
AMES INTERNATIONAL PARTNER CITIES ASSOCIATION
Ames, Iowa
November 19, 2011, 5 PM
Attending: Bill Diesslin, Dianne Brotherson, Laura Lynn Boettger, Kathleen Ary, Sharlene Sullivan, CappieDobyns, Judy Kemp, and Tom Sauer

Call to Order 5:05 p.m., Judy Kemp
Approval of October 20 Minutes
One correction for October minutes concerning Tribune article on Czech delegation. Motion by Boettger, second by Brotherton, vote to approve October minutes.
Treasurers Report
Paid Heartland Senior Services for bus service during Czech delegation visit.
Requests for reimbursement of some expenses from City not submitted yet.
Some concern that funds gradually decreasing. Need to collect outstanding dues and recruit new members discussed.
Motion by Boettger, second by Dobyns, vote to approve treasurer’s report.
Old Business
Replacement of Board Positions
Need to identify potential new board member to represent the city. Some possible individuals discussed. Review host family evaluations and membership of other civic organizations for
potential candidates. Current board members asked to consider potential candidates for discussion and decision at next meeting.
Update on Hiring Process for AET Replacement in Japan
Boettger provided update of current AET in Japan and changes in recruitment process. Recent letter from Japan has outlined a change in AET qualifications. New AETs must have 1st grade
Japanese language skills. Continuous advertisement has been placed on ISU job board. Motion by Kemp, second by Diesslin, vote to approve paying translator $100 for translation of
letter to Japan concerning current AET status.
Czech Delegation Host Family Evaluation Summary
Lynn Zwagerman completed summary of host family evaluations. Copies were distributed to board members and guest. Overall very positive comments. One concern was difficult communication
with some members of delegation having limited English. Members are urged to study the report and be prepared to discuss at the next meeting.
Upcoming Youth Delegation to JapanSullivan reported that 13 applicants are confirmed with 2 more recent applications. Some other students have expressed interest. Applications close
on Nov. 18. Two chaperones are confirmed and a third has expressed interest. Three chaperones should be sufficient for ~ 15 students. Tentative trip dates are for the third week of
June.Ary, Sullivan, Dobyns, and Culhane will review applications.
Transportation for Youth Delegation to JapanBoettger reported that the lowest airfares are still ~$1800. Cost may be a factor in the reduced number of applications. She will call again
to consider a reservation.
Adult Delegation from JapanNo discussion
Newsletter SubmissionsDobyns reminded members to submit newsletter articles. It was agreed that submissions should be sent soon to enable the next newsletter to be sent before the Christmas/New
Year Holidays.Group will meet on Thurs. Dec. 8 @7pm at Dianne Brothertons (400 Ash )to send out newsletters and holiday greetings.
H. Scholarship ApplicationsKemp distributed a draft form Dobynsput together for scholarship applications. Discussion concerned some details on form and also how to generate funds to
support a scholarship program.
New Business
By-Law RevisionsCopies of current by-laws were distributed. Board members encouraged to study them and be prepared for discussion at next meeting.
Membership DrivePerceived need to re-connect with membership. Membership database and mailing list need to be verified and corrected. December newsletter will be directed to soliciting
greater interaction with members.Boettger suggested that board may consider a student with interest in public relations as an unpaid intern to assist with AIPCA communications/outreach.
