Members present: Yonas Michael, Bill Diesslin, Lynn Zwagerman, Oye Pitcher, Pat Sauer, Dianne Brotherson, Lana Pavlik, Judy Kemp, Kathleen Ary
Call to Order: (5:15) Judy Kemp
Approval of August 18, 2011 Minutes: Tabled until October meeting
Treasurer’s Report: Bill Diesslin
No money coming in or going out
Audit completed
Judy now has authority to sign checks
City of Ames wants an annual report. It needs to include a record of expenses paid for by city funding.
Czech Delegation:
Checked delegation visit schedule.
Decided not to charge host families participating at Stone Brooke clubhouse dinner.
Snus Winery: wine must be purchased by families. It is not covered by AIPCA.
Receipts need to be saved for reimbursements
Pioneer Hats donated by Tom Sauer
David Pavlik and Diane Oppedal will represent board at Hickory Park
Host families provide dinner Tues. night before City Council Mtg.
Host family meeting Sunday, 9/18 at 7pm at Zwagermans
Yonas Michael to handle checks from association members and guests for meals. His name and address: Yonas Michael, 2423 Grant Circle, Ames (301)351-1594.

Japan Youth Delegation:
We will try to plan this trip for the same approximate dates as the trip that was cancelled. Those dates were June 13-23. Japan prefers that week on their calendar.
Sharlene will email participants from last year to see if they are interested in the 2012 trip.
Laura Lynn will check into flight arrangements.
A coordinator for this delegation is needed.
Board needs to decide whether tickets should be covered for 50% for chaperones
Adult Delegation from Koshu to Ames
Board discussed July and concluded that we would need most people around to pull it off. In July that may not work. September then suggested as option.
Secretary
Board learned that Mark Swenson resigned at secretary. A replacement is needed.
