Adjourn MINUTES OF THE SPECIAL MEETING OF THE AMES CIVIL SERVICE COMMISSION AMES, IOWA OCTOBER 17, 2025 The Special Meeting of the Ames Civil Service Commission met in special session in Council Chambers of City Hall, 515 Clark Avenue, with Commission Members, Kim Linduska, Harold Pike and Larry Conley present. Chairperson Kim Linduska called the meeting to order at 3:30 PM on October 17, 2025. Also in attendance was Erin Clanton, Brick Gentry P.C., Legal Counsel for Commission Members, Jane Change, Assistant Attorney for City of Ames and Commission Clerk, Vicki Hillock. APPROVAL OF AGENDA: Moved by Pike, seconded by Conley to approval agenda. Vote on Motion: 3-0. Motion declared carried unanimously. CONSIDERATION AND ACTION ON CITY’S MOTION TO CONTINUE: Moved by Conley, seconded by Pike, to accept and take action on City’s Motion to Continue. Vote on Motion: 3-0. Motion declared carried unanimously. RECEIVE AND FILE CORRESPONDENCE FROM HEDBERG & BOULTON, P.C. REPRESENTING ATTORNEY FOR JEROME WARD: Moved by Linduska, seconded by Conley, to receive and file correspondence from Hedberg & Boulton, P.C. as representing Attorney for former employee, Jerome Ward requesting at least 30 additional days to adequately prepare for the hearing. Vote on Motion to Approve an additional 30 days: 3-0. Motion declared carried unanimously. NOTICE OF HEARING: Discussion was presented for the setting of hearing dates for the Matter of Jerome Ward Appeal. Counsel Clanton presented commission with requested dates of no earlier than November 17, 2025, requested by representing Attorney for City of Ames and no earlier than November 27, 2025, requested by representing Attorney for former employee, Jerome Ward. It was noted that the Thanksgiving Holiday is November 27tha and 28th, thereby, discussion presented December 4th and 5th for the appeal hearing. Commission members stated they are all available both days. Commission member Conley motioned to set the hearing for the Matter of Jerome Ward Appeal and shall be held pursuant to the provisions of Iowa Code Chapter 400, for December 4 and 5th, 2025, at 9:00am in Council Chambers of City Hall, 515 Clark Avenue. Seconded by Pike. Vote on Motion: 3-0. Motion declared carried unanimously. DISCUSSION: Commission member Pike asked for a meeting with Counsel Clanton to present and refresh the commission with the hearing process, commission member roles and role of legal counsel for the commission as outlined in the Civil Service Commission Policies and Procedures as set out by Iowa Code Chapter 17A. Meeting set for November 20, 2025, at 8:30am in Council Chambers following the Regular Civil Service Commission Meeting. Motion to set meeting and adjourn by Linduska, seconded by Pike. Vote on Motion: 3-0. Motion declared carried unanimously. ADJOURNMENT: The meeting adjourned at 3:39 PM. __________________________________ _______________________________________ Kim Linduska, Chairperson Vicki Hillock, Commission Clerk MINUTES OF THE SPECIAL MEETING OF THE AMES CIVIL SERVICE COMMISSION AMES, IOWA NOVEMBER 20, 2025 The Special Meeting of the Ames Civil Service Commission was called to order by Chairperson Kim Linduska at 8:30 a.m. on the 20th day of November 2025 in Council Chambers in City Hall, 515 Clark Avenue, pursuant to law. Present were commission members Harold Pike and Larry Conley. Also in attendance were Erin Clanton, Brick Gentry P.C., Legal Counsel for Commission Members, Renee Hall, City Clerk, and Commission Clerk, Vicki Hillock. APPROVAL OF AGENDA: Moved by Conley, seconded by Pike to approve agenda. Vote on Motion: 3- 0. Motion declared carried unanimously. REFRESHER OF PROCEDURES: Erin Clanton, Brick Gentry P.C. provided an overview of expectations and procedures of the trial that is set for December 4 & 5, 2025. The commission members engaged in question and answers with Ms. Clanton. APPROVE NOTICE OF HEARING: Moved by Pike, seconded by Conley, to approve notice of hearing: 3-0. Motion declared carried unanimously. ADJOURNMENT: Moved by Linduska, seconded by Pike, to adjourn the meeting at 8:58 a.m. __________________________________ _______________________________________ Kim Linduska, Chairperson Renee Hall, City Clerk AMES CIVIL SERVICE COMMISSION IN RE: APPEAL OF JEROME WARD CITY’S MOTION TO CONTINUE COMES NOW the City of Ames, by and through the undersigned, and hereby states the following: 1. The hearing in this matter is set for December 4, 2025. 2. The City has received a settlement offer from Mr. Ward and needs time to consider the offer. 3. The undersigned requests that the hearing be continued. 4. The undersigned spoke with Mr. Ward’s attorney regarding this motion. Mr. Ward does not object to the City’s motion to continue.
