HomeMy WebLinkAboutA019 - Resolution awarding a contract to RESCO of Ankeny, IA, for the purchase of shims, brackets, and steel light poles for Electric Services in the amount of $56,743.11ITEM #:23 DATE:08-12-25 DEPT:ELEC SUBJECT:ELECTRIC DEPARTMENT STEEL LIGHT POLE AND MATERIALS PURCHASE COUNCIL ACTION FORM BACKGROUND: This contract is for the purchase of steel light pole components necessary to meet the anticipated needs of the City's electric distribution system. These poles and materials are kept on hand to ensure availability, enabling staff to quickly make repairs and maintain or restore utility services. Staff issued a Request for Quotation (RFQ) for the restocking of steel light poles. On July 22, 2025, bids were received as follows: RESPONDING SUPPLIER LINE 1 SHIMS LINE 2 BRACKETS LINE 3 POLES RESPONSE TOTAL (inclusive of tax) RESCO of Ankeny, IA $374.50 $2,646.91 $53,724.70 $ 56,746.11 Fletcher Reinhardt Company of Cedar Rapids, IA $353.10 $2,703.89 $54,297.15 $ 57,405.50 Border States of Ames, IA $347.75 $2,755.25 $54,570.00 $ 57,638.76 WESCO Distribution of Des Moines, IA $363.80 $2,856.90 $54,587.12 $ 57,790.70 Power Line Supply of Williamsburg, IA NO BID $3,343.75 NO BID $ 3,343.75 (BID LINE 2 ONLY) Electric Distribution Material Bids are evaluated to purchase components at the best price available. Staff determined the lowest responsive, responsible bid for all components from RESCO of Ankeny, IA in the amount of $56,746.11 to be acceptable. There is no budgeted amount for this purchase. The materials will be placed into inventory, where it will be charged to each specific project as the material is put into service. ALTERNATIVES: 1. Award the contract to RESCO of Ankeny, Iowa, for the purchase of shims, brackets, and steel light poles for Electric Services in the amount of $56,746.11. 2. Direct staff to award the contract to another bidder. 3. Reject the bids. 1 CITY MANAGER'S RECOMMENDED ACTION: These light poles and components are necessary to meet the anticipated needs of the City's electric distribution system and are kept on hand to ensure availability, enabling staff to quickly make repairs and maintain or restore utility services. Alternative 1 provides the necessary components at the best price. Therefore, it is the recommendation of the City Manager that the City Council adopt Alternative No. 1, as described above. 2
