HomeMy WebLinkAbout~Master - February 3, 2020, COTA Meeting MinutesMinutes COMMISSION ON THE ARTS Council Chambers City Hall, 515 Clark Avenue Monday, February 3, 2020 Call to Order: The meeting was called to order at 5:00 p.m. by Chair Steve Sullivan. Members present were Deanne Brill, Tom Lockhart, and Troy Rutter. Natalie Robinson was not present. Staff member Brian Phillips was also present. Public Forum Stan Rabe announced that ACTORS would have an announcement regarding its building on February 15th. Anand Balasunramanian, representing India Cultural Association, expressed appreciation for COTA’s recommendation. He provided information regarding a stand-up comedian that had been booked using that funding. Approval of the January 6, 2020 Minutes Moved by Tom, seconded by Troy, to approve the minutes of the January 6, 2020 Meeting. Motion carried unanimously. Discussion with Jennifer Drinkwater Jennifer Drinkwater introduced herself. She reviewed a short presentation regarding what art can do for the community. Steve noted the Commission intended to conduct a survey to learn more about those who are not regularly represented at COTA’s meetings. The Commissioners requested that the presentation be posted on the COTA website, and Ms. Drinkwater agreed to allow it to be posted. Discussion to Amend Final Grant Report Troy noted that the final grant report forms were approved in August. He would like COTA to consider modifications to make the application and final report consistent. The changes would occur on the final report to separate admission income from membership income, and to modify section C to be the total of sections A and B. Moved by Lockhart, seconded by Rutter, to modify the Final Report for the Annual Grant to be consistent with the Application. Motion carried unanimously. Update on Survey for COTA Agencies Steve asked if there were any thoughts regarding a draft survey he had circulated. Steve considered asking whether organizations partner with other organizations. He will revise the survey and send it back out to the COTA members. Approval of 2020-21 COTA Calendar Steve asked for any changes to the draft. Tom noted September 7th is Labor Day. The meeting should be held September 14th. It was moved by Lockhart, seconded by Brill, to approve the calendar as modified. Motion carried unanimously. Approval of Fall 2019 Special Project Grant Final Report for Ames Town and Gown Troy noted the $500 to COTA should have been indicated as a $500 to Town and Gown. Moved by Rutter, seconded by Lockhart to approve the report with the amendment that the $500 contribution was to Town and Gown, not COTA. Motion carried unanimously. Approval of Fall 2020 Special Project Grant Application and Report Forms Steve noted the forms have been consistent since they have been implemented. Moved by Lockhart, seconded by Rutter, to approve. Motion carried unanimously. Upcoming Important Dates Steve reviewed the upcoming important dates. Tom noted he would attend the City Council budget wrap-up meeting on behalf of the Commission. Steve noted this was his last meeting. Others expressed appreciation for his service. Adjournment Tom moved the meeting be adjourned. The meeting adjourned at 5:54 p.m.
