MEETING MINUTES – March 3, 2021
AMES CITY HALL, held via Zoom virtual meeting
Present: Sara Sherman (Chair), Amanda Gigler, Andrew Ward, Angie DeWaard (Vice Chair), Brian Phillips (City
Liaison), Candace Zwank, Claire Kruesel, Erica Briest, James (Jim) Surber, Karen George (Treasurer),

A. Call to Order – Sara Sherman, Chair, called the meeting to order at 12:01 pm.
B. Approval of March 3, 2021 Agenda (Sara Sherman, Chair)
Erica Briest moved and James Surber seconded to approve the agenda which was approved without
corrections.
C. Approval of February 3, 2021 Minutes (Penny Adam, Secretary)
Jim Surber moved and Erica Briest seconded to approve the minutes which were approved without
corrections.
D. Treasurer’s Report for March 3, 2021 (Karen George, Treasurer)
There are no new expenses to report.
E. Public Forum – N/A
F. Chair’s Report and Comments (Sara Sherman)
1. Discussion topics for the April meeting
a. The new Public Art Commissioners’ first meeting will be April.
b. The nomination and election of officers, for PAC, will take place at the April meeting. The current Vice
Chair Angie DeWaard will take over as Chair at the May meeting along with confirmation of
Committee co-chairs.
c. The inventory of PAC shirts needs to be evaluated for determination if more need to be ordered.
Olivia Madison will check the storage closet for the shirts when in the City offices soon.
G. City of Ames Liaison Comments (Brian Phillips, City Liaison)
1. The City Council reviewed the budget and should be able to finalize at their next meeting which includes
approval of the PAC budget. The Council’s review / approval also includes $200K for the Arts.
2. The Council received an informational memo on status of the transformer project and wants this project
to move forward, $10K is reserved for this work. See New Business, item 4 for additional information.
3. The Council is allocating $10K (becoming available July 1) to do a pilot painting project for storm drain
intake art. This is to include an educational component on water.
4. Black Arts and Music items were on display, in City Hall, in February and received a lot of positive
exposure and attention. As PAC needs to determine where these pieces are moved to Sara will add this to
the April agenda. An idea to consider is developing a rotating art display at locations around the City
which includes a program component. Another idea presented is installing the exhibit in the new Ames
High School.
H. New Business
1. Artist Workspace partnerships with The Octagon and with COTA
a. The Octagon team will resubmit their proposal to the City Council for the grant money for
improvements and renovations.
2. Partnership with COTA, Small Arts Grants ($10K total)
a. Sara Sherman met with Tom Lockhart (COTA). Discussion included formation of a subcommittee of 2
– 3 members from both groups to evaluate applications as they come in; a draft of guidelines has
been presented to the Council. Interested members of PAC include Sara Sherman and Angie
DeWaard. Brian suggests Sara, Angie, and Tom attend the next City Council meeting (March 9 at
6:00pm) to discuss the guidelines drafted.
3. Glowforge laser cutter and possible purchase in partnership with other City departments. Brian Phillips
talked with Parks and Rec for their interest and learned they usually have their plaques cast in materials
appropriate for the installation. If this moves ahead, the Purchasing Dept can contact the Glowforge
company to negotiate a government rate. Discussion ensued with the conclusion that Candace generate
a comparison fact sheet for another discussion at the April meeting prior to a formal vote. Storage
location and personnel who can handle this cutter also needs to be gathered for discussion with the
comparison information. The question came up, can the City’s graphic designer cover both design and
making of the QR codes, what is this cost for charge back purposes – Brian Phillips will look into this.
4. Transformer Cabinet mural project proposal
a. Angie DeWaard reached out to the Ames Main Street Group on possible collaboration who is happy to
partner on this project to select designs and placement. Angie asks for help from Brian with locations
and sizes of transformer cabinets in the identified area Downtown.
b. The budget for this project is $10K. An honorarium for participants / artists was discussed.
c. Criteria for artists applications, and eventual call for artists may include:
1. must be Ames resident
2. mix of professional and amateur artists
3. various age groups represented
d. As James Surber is coming off PAC this Spring, Sara will take over the lead on this project with Claire
Kruesel working with her.

1. Celebration Planning; 25th Year of AAOSE and 30th Year of PAC
a. Committee for planning: Olivia Madison, Sara Sherman, Angie DeWaard, Erica Briest, Claire Kruesel;
additional contributors include Kerry Dixon, Heather Johnson, Bob Kindred
b. Committee report
1. Discuss current plan, brief overview of committee meeting held November 24, 2020
a. social media selfie scavenger hunt, response to public art
b. Moore Memorial park sculpture garden
c. Chalk the Walk at The Octagon
d. Youth art contest, display at City Hall gymnasium
e. live mural painting, Sara has begun the process of pricing the murals
f. culminating event
2. The above activities list is shortened, Olivia Madison will send a document on this list, and their
descriptions, to the PAC members.
J. Commission Committees, Liaison Reports, and Comments
1. Outreach (Olivia Madison and Erica Briest Co-Chairs; Amanda Gigler, Andrew Ward, Candace Zwank,
Penny Adam)
a. Ames Annual Outdoor Sculpture Exhibition (AAOSE)
1. Committee panelists are selected and have met to select AAOSE 2021 pieces; Kerry Dixon, Kevin
Stowe, Mary James, Lisa Teske
2. 21 works from 18 artists were considered; Kerry reviewed the selections and gave
recommendations on placement. A number of submissions came in with great work done by this
Committee to make selections to recommend to PAC.
3. Erica Briest made a motion to accept this Committee’s report, James seconded; the motion was
approved by unanimous vote. Once it is determined all pieces are available this can go to the City
Council for approval.
b. Neighborhood Art
1. The identified pieces have been approved by the City’s Risk Management.
2. Contacting the artists on pricing has been completed. Candace will send finalized purchase
agreements to Sara Sherman and Carly Watson for eventual forward to Brian Phillips for
presentation to the City Council. Penny Adam made a motion the purchases, of identified art
pieces, proceed for Neighborhood Art; passed by unanimous vote.
2. Public Relations (Paola Sepulveda as Chair; Sara Sherman, Taylor Carlson)
a. Festival & Event participation for FY2021. The following events will need participation from PAC
members at out booth, all dependent on the current COVID situation.
1. Artwalk – June 3, 2021 (5:00pm – 8:00pm); Erica Briest and Candace Zwank are available to staff a
booth. Sara Sherman will send an email to garner additional response.
2. Reiman Gardens – July 2021, PAC is registered
3. The Octagon Art Festival – September 2021
b. Creating 3D photos of sculptures for public viewing.
3. Collection Management (Angie DeWaard and James Surber as Co-Chairs; Claire Kruesel, Karen George,
Olivia Madison)
a. City Hall art placement and signage – no updates
b. PAC Collection Management Database system; Angie shares the website will be worked on as there is
time to do so.
c. Balance, crack at base – no updates
d. Dahlquist light features downtown – no action, including as a placeholder

The next PAC meeting is scheduled on Wednesday, April 7, 2021 at 12:00 noon in 135 Ames City Hall with
logistics to be determined.
