RESOLUTION WAIVING PURCHASING POLICIES AND PROCEDURES AND
AWARDING A CONTRACT FOR IN-CAR COMPUTER REPLACEMENT FOR THE
POLICE DEPARTMENT, CITY OF AMES, IOWA
WHEREAS,patrol vehicles are outfitted with a computer on a four-year replacement cycle,
and the current laptops are now five years old; and,
WHEREAS, a detailed selection process took approximately eight months and has pushed
the current laptops well past their intended term of service; and,
WHEREAS, the Department has received a quote for 11 Toughbooks, 12 in-car mounting
systems, 2 in-office mounting systems, additional supporting equipment, and installation services
from Keltek, Inc., of Baxter, Iowa, in the amount of$67,646.55; and,
WHEREAS, the City of Ames Purchasing Policies and Procedures allows the use of State
of Iowa cooperative agreements in lieu of soliciting written bids or verbal quotations for the purchase
of commodities and services costing less than $25,000; and,
WHEREAS, in-car computers are a critical piece of equipment in the Police Department's
vehicles; and,
WHEREAS,the Panasonic Toughbook has demonstrated a history of quality and reliability;
and,
WHEREAS, staff believes that the quote provided by Keltek, Inc., is appropriate and
reasonable.
NOW, THEREFORE, BE IT RESOLVED by the City Council of the City of Ames, Iowa,
as follows:
a. the City's purchasing policy requirement be waived; and
b. the dollar amount for the use of State of Iowa cooperative agreement be extended,
and
C. the contract be awarded to Keltec, Inc., of Baxter, Iowa, for the Panasonic
Toughbook CF33s from under the State of Iowa Master Pricing Agreement in the
amount of$67,646.55.
