HomeMy WebLinkAbout~Master - Purchase of Software Maintenance from Sungard Public Sector RESOLUTION NO. 12-338 RESOLUTION APPROVING WAIVER OF CITY'S PURCHASING POLICY REQUIREMENT AND AUTHORIZING PURCHASE OF SOFTWARE MAINTENANCE FOR THE CITY OF AMES,IOWA WHEREAS,Sungard Public Sector is the City's software vendor for the integrated financial, utility billing,building permits, and citation management applications, and the City contracts with the vendor on an annual basis for maintenance services; and, WHEREAS, Sungard Public Sector (SPS) is the sole provider of maintenance for these software applications, and the approved FY 2012/13 budget includes $90,067 for this software maintenance; and, WHEREAS, current actual maintenance cost quoted for the FY 2012/13 maintenance contract is $83,620.80; and, WHEREAS, staff is requesting authorization in the budgeted amount of$90,067 to provide authorization to fund software maintenance by modifying the contract for any software additions or changes made during the year that may increase the contract amount without coming back to Council for an additional waiver and contract authorization; and, WHEREAS, the City's adopted purchasing policies normally require that bids be solicited for this type of service; and, WHEREAS, in this case, however, the software is proprietary, and SPS is the only firm licensed to provide software maintenance; and, WHEREAS,it is appropriate for the Council to waive the City's formal bidding requirements and authorize this sole-source purchase. NOW, THEREFORE, BE IT RESOLVED by the City Council of the City of Ames, Iowa, that waiver of formal bidding requirements for software maintenance is hereby approved, and staff is authorized to enter into FY 2012/13 software maintenance contracts with Sungard Public Sector at an estimated cost of$90,067.
