RESOLUTION APPROVING AMENDMENT TO
CITY OF AMES RECORDS RETENTION SCHEDULE
FOR THE CITY OF AMES,IOWA
WHEREAS,the Records Retention Schedule,intended to answer questions about what documents are to be
kept,by whom,and for what period of time,was adopted by Resolution No. 98-143 on April 14, 1998; and,
WHEREAS,at that time,it was also determined that any changes to the Schedule would be submitted for
approval on a semi-annual basis(in March and September); and,
WHEREAS,changes are necessary under the Planning&Housing Department,as follows:
1. Remove P-C and P-I Plans under Long Range and Current Planning
2. Add new Record Titles under Long Range and Current Planning, said records to be retained
permanently:
a. Manufactured Home Park Plans
b. Urban Revitalization Files
c. Master Plans/Rezonings/Major Site Plans in Suburban Residential Districts
3. Add new Record Titles under Long Range&Current Planning,said records to be retained for five years:
a. Downtown Facade Grant Files
b. Planning&Zoning Commission and Historic Preservation Commission audio tapes.
4. Change the category to read Housing Programs (CDBG/County-Wide/Affordable Housing) from
Affordable Housing Program
5 Change the category to read Rental Housing Program (Section 8 Voucher Program) from Rental
Assistance Program.
6. Delete the category entitled Economic Development
WHEREAS,a change is also necessary under the Finance/Administration Department;and,
WHEREAS,that change is to create a new category entitled Economic Development.
WHEREAS,the Records Retention Committee met on March 22,2007,and agreed that these changes should
be made.
NOW,THEREFORE,BE IT RESOLVED by the City Council ofthe City ofAmes,Iowa,that the amendment
to the City of Ames Records Retention Schedule reflecting the changes necessary in the sections for the
aforementioned Departments is hereby approved.
ADOPTED THIS 27'day of March,2007.
