RESOLUTION APPROVING POLICIES FOR
PROCUREMENT CARD PROGRAM
FOR THE CITY OF AMES, IOWA
WHEREAS,several months ago,the City began reviewing the possibility ofusing a purchase
card program as a method to simplify purchase transactions for low-dollar maintenance and supply
items; and,
WHEREAS, this would allow departments more time to provide direct services and
consolidate accounting and reporting functions; and,
WHEREAS, after extensive review of other government procurement card programs and
input from City department managers on proposed policies and procedures, it was decided that a
purchase card program would be advantageous to the City; and,
WHEREAS, implementation of the Procurement Card Program will not change the basic
structure of the City's Purchasing Policies and Procedures; and,
WHEREAS, this program will simply be a new system of acquisition for those employees
already authorized to make small purchases, and it will provide a consolidated method of payment
for goods and services; and,
WHEREAS, the Procurement Card Program policies will establish use of the card as an
authorized method of procurement and ensure compliance with existing Citypolicies and procedures
by setting forth responsibilities for use and control of City-issued purchase cards.
NOW, THEREFORE, BE IT RESOLVED by the City Council of the City of Ames, Iowa,
that the Procurement Card Program policies are hereby approved, attached hereto, and made a
portion hereof by this reference.
